PRIVACY POLICY

Conex SAS is committed to protecting your privacy and fulfilling its obligations regarding the security of its customers’ information. All personal data is collected and processed in accordance with French and European data protection laws.
This privacy policy covers the following aspects of the data we collect: Where does it come from? What do we do with it? How do we store it? To whom do we transfer it? How do we address your data protection rights? How do we comply with data protection regulations?

 

Data Controller

 

In this Privacy Policy, “Conex” (hereinafter “we,” “us,” “our,” or “Conex”) refers primarily to Conex SAS. Your personal data may be shared by Conex SAS with its parent company, its subsidiaries, and/or any other affiliate.

Conex is the “data controller” for all personal information collected from its customers under the GDPR, the General Data Protection Regulation.

By “personal data,” we mean any data about you that allows us to identify you, such as your last name, first name, business contact information (mailing address, email address, IP address, phone number, and information regarding your access to the various services we offer: websites, the Helpdesk interface via Conex, and applications hosted via Conex*), as well as data collected from communications exchanged with us or that you send to us via mail, email, phone calls, or social media; *Non-exhaustive list
We may collect your personal data when you fill out an online information request form, complete your CUSTOMER PROFILE, attend one of our conferences, training sessions, trade show, or any other event, take part in a survey, or when you contact us.

For what purposes do we use your personal data, why, and for how long?

Your data may be used for the following purposes:
– To provide the information, products, and services you request: we use the information you provide to us to respond to your requests.
– To contact you in the event of a significant regulatory change or an update to our solutions. These communications are not sent for marketing purposes and cannot be opted out of;
– For administrative or legal purposes: we use your data to conduct statistical and business analyses, system testing, customer surveys, maintenance and development activities, or to resolve a dispute or claim.
– Communications with the sales department: We use your data to manage our relationship with you as a customer and to improve our services and your experience with us;
– Business communications: We use your data to provide you with relevant information, such as Customs alerts and information related to the use of our products and services (software updates, servers, help desk, etc.)
– Marketing: We will contact you via email to provide you with offers for related products and services. You may choose whether or not to receive these communications by indicating your preference on the appropriate form. You will also have the option, in each of our email communications, to indicate that you no longer wish to receive marketing communications.
– We will process your personal data only as permitted by law. The legal basis will vary depending on the reasons why we collected and need to use your personal data.
– In most cases, we need your personal data to track your business account, and only within the professional context of our customer-supplier relationship.
– We will not retain your data for longer than is necessary to fulfill the purposes for which it is processed. To determine the appropriate retention period, we take into account the duration of our contractual relationship and your preferences.
– We must also take into account the periods of time during which we may need to retain personal data in order to comply with our legal obligations or to handle complaints and inquiries and to defend our interests in the event of a dispute.
– As soon as we no longer need your personal data, we will delete or securely destroy it.

 

Administrative Orders

 

Conex SAS will be released from its confidentiality obligation if an administrative or judicial authority orders it to disclose the data in its possession.

 

Security of Your Personal Data

 

– To ensure the security and confidentiality of your personal data, Conex SAS uses networks protected by standard security measures such as firewalls, encryption, and passwords. When processing personal data, Conex SAS takes all reasonable measures to protect it against loss, misuse, unauthorized access, disclosure, alteration, or destruction.
– Users are also reminded that they can help protect their Personal Data by following best practices when using computer tools (for example, by not writing down their password).
– The User’s account includes, in particular, the User’s login credentials, which are the User’s sole responsibility. The User agrees to keep them confidential and not to disclose them in any form whatsoever. If any of the User’s login credentials are lost or stolen, the User must immediately notify Conex SAS, which will then proceed to immediately cancel and/or update the affected login credentials.
– The User is solely responsible for the use made of their Login Credentials, even if the User saves their Login Credentials on their computer, mobile phone, or any other type of device, thereby enabling automatic login to the Services.
– Any access to, use of, or transmission of data through a User’s account shall be deemed to have been performed by that User. The User is solely responsible for maintaining the confidentiality of their login credentials. In this regard, the User is required to ensure that they log out of the Services at the end of each session, particularly when accessing the Services from a public computer.
– Any loss, misappropriation, or unauthorized use of a User’s Login Credentials and the resulting consequences are the sole responsibility of that User. In all of the above cases, the User is required to notify Conex immediately by email, specifying their login credentials, last name, and first name, to

Sharing Your Personal Information

Your personal data may be shared by Conex SAS with its parent company, its subsidiaries, and/or any other affiliate.

For the purposes set forth in this Privacy Policy, we may also share your personal data with the following third parties:
– Trusted service providers we engage for certain activities, such as marketing service providers who assist our marketing teams in conducting customer surveys and targeted marketing campaigns
– In the event of a dispute: Legal counsel or other professional advisors, courts, and law enforcement agencies to enforce rights related to our contract with you;
All data collected will be processed in accordance with this Privacy Policy.

When our use of your personal data depends on your consent, you have the option to withdraw your consent to the processing of your personal data and to delete that data at any time by clicking on the provided unsubscribe links.

Your Data Protection Rights

In accordance with the law, you have the right in certain circumstances to:
– Request information to find out whether we hold personal information about you and, if so, what that information is and why we retain/use it.
– Request access to your personal information. This request allows you to receive a copy of the personal information we hold about you and to verify that we are processing this data lawfully.
– Request that we correct the personal information we have about you. This allows you to correct any incomplete or inaccurate information.
– Request the deletion of your personal information. This allows you to ask us to delete or remove any personal information that we no longer have a reason to process. You also have the right to ask us to delete or remove your personal information when you have exercised your right to object to the processing of your data.
